By registering for the Traveling through Watercolor: Japan workshop, participants acknowledge and agree to the following terms and conditions.

Nature of the Workshop

Traveling through Watercolor: Japan is an educational art workshop centered on watercolor painting, sketching, and observational drawing. The program includes studio instruction, outdoor painting sessions, and coordinated group visits to various locations in and around Tokyo, Kamakura, and Hakone.

This workshop is intended as an artistic and educational program and does not constitute a package tour or travel service.

Participant Responsibilities

Participants are individually responsible for:

  • Arranging and paying for their own international travel

  • Arranging and paying for their own accommodation

  • Obtaining valid passports, visas, or other travel documents as required

  • Obtaining appropriate travel, health, and personal insurance coverage

  • Managing personal expenses during the workshop unless otherwise specified

Participants are also responsible for ensuring that they are physically able to participate in the activities involved in the workshop, including walking, travel by public transportation, and outdoor sketching sessions.

Excursions and Activities

The workshop includes coordinated excursions and group visits connected to the educational program. These may include museums, gardens, temples, shrines, and other cultural sites.

Participation in excursions and group activities is voluntary.

While the Organizer may assist in coordinating certain group activities or transportation arrangements, participants remain responsible for their own personal safety, belongings, and conduct throughout the workshop.

Workshop schedules, locations, and activities may occasionally change due to weather conditions, transportation delays, site closures, health considerations, or other unforeseen circumstances.

Included / Not Included

The workshop fee includes:

  • Workshop tuition and instruction

  • Access to studio space at Seikei University

  • Coordinated excursions connected to the workshop program

  • Entry fees for selected museum and cultural site visits

  • Organized transfer to Hakone

  • Welcome and farewell meals

The workshop fee does not include:

  • International airfare

  • Airport transfers

  • Accommodation

  • Daily meals not specifically listed above

  • Local transportation by train or public transit during excursions (except for the organized transfer to Hakone)

  • Art materials

  • Personal expenses or travel insurance

Assumption of Risk

Participants understand that international travel and participation in group activities involve certain inherent risks, including but not limited to travel delays, illness, accidents, personal injury, theft, loss or damage of personal belongings, and other unforeseen events.

By participating in the workshop, participants acknowledge that they do so voluntarily and assume responsibility for their own wellbeing and personal property throughout the duration of the program.

Limitation of Responsibility

The Organizer cannot be held responsible for:

  • Personal injury or illness

  • Loss, theft, or damage to personal belongings

  • Flight delays, cancellations, or transportation disruptions

  • Changes to itinerary caused by weather, transportation issues, public health concerns, natural events, or circumstances beyond reasonable control

  • Expenses incurred as a result of missed connections, travel interruptions, or personal emergencies

Participants are strongly encouraged to obtain comprehensive travel and medical insurance prior to departure.

Cancellation Policy

The initial registration deposit of €600 is non-refundable.

For cancellations received in writing more than 6 weeks before the start of the workshop, any payments made beyond the deposit may be refunded, minus a €400 administrative and reservation fee.

Cancellations made within 2 months of the workshop start date may result in the forfeiture of your registration fee if we're unable to fill your reserved seat with a standby applicant from the waiting list.

In the unlikely event that the workshop must be cancelled by the Organizer, all workshop fees paid directly to the Organizer will be refunded in full. The Organizer is not responsible for airfare, accommodation, insurance, or other independently booked travel expenses.

Participants are strongly encouraged to obtain travel insurance covering cancellations, medical expenses, and unforeseen travel interruptions.

Photography and Documentation

Photographs or video documentation may occasionally be taken during the workshop for archival or promotional purposes. Participants who prefer not to appear in such materials are welcome to inform the Organizer in advance.

Acknowledgment

By registering for the workshop, participants acknowledge that they have read, understood, and agreed to these Workshop Terms & Participant Acknowledgment conditions.
